Frequently asked questions

Everything you might want to know about running internships on Internhuddle.

What is Internhuddle?

Internhuddle is an internship management platform that runs your whole program in one place — video applications, AI screening, offers and e-sign contracts, mentor matching, weekly feedback, performance reports and certificates. Each company gets its own private, isolated workspace.

Who is Internhuddle for?

Internhuddle is built for any team that runs internship programs — startups, scale-ups, agencies, universities and non-profits — including employers hiring through campus recruitment and graduate pipelines. Admins manage the program, mentors give feedback, and interns get a private portal to track their journey.

How do internship applications work?

Instead of a long form, candidates record a 90-second video intro through a simple public apply link. No account is required to apply, and every application lands in your pipeline automatically.

How does the AI screening work?

The moment a candidate applies, Internhuddle scores and summarises their application and video intro, giving you an evidence-based fit score with a short, plain-English rationale. You can re-score applicants as your bar changes, and you always make the final call.

How does Internhuddle reduce bias in screening?

Two ways. Blind Mode redacts names and other identifying details before the AI sees an application, so early screening focuses on the work rather than the person. And a calibration loop lets admins mark whether they agree or disagree with each score — that feedback shapes future screening for your workspace, while the built-in bias guardrails never relax.

Can I get a second opinion on a candidate?

Yes. Advisory reviews let you share a candidate with anyone — a hiring manager, team lead or client — via a secure link. Reviewers don't need an account, and their feedback is purely advisory: it never changes a candidate's status, so you keep the final call.

What does 'approve-by-exception' automation mean?

Internhuddle moves the happy path forward on its own — sending reminders, advancing candidates and chasing missing steps — and only stops to ask you when something genuinely needs a human decision. You stay in control of every gate, without doing the busywork.

Can I send and e-sign internship contracts?

Yes. You can generate an internship agreement (AI-drafted or upload your own PDF), send it for signature, and collect a legally-clear e-signature — all without leaving Internhuddle or using a separate tool.

How does mentor matching work?

Internhuddle auto-allocates mentors by area and capacity so nobody gets overloaded and every intern has a point of contact from day one. You can override allocations manually at any time.

Do interns get a certificate?

Yes. Weekly feedback rolls up into a polished, factual performance report and a branded completion certificate, generated automatically and ready to download when the internship ends — concrete evidence of workforce readiness interns can use in graduate applications.

Is my data private and isolated from other companies?

Yes. Every company gets a strictly isolated workspace with role-based access control. Your data never bleeds into anyone else's, and personal data is purged on a retention schedule you control.

How much does Internhuddle cost?

Internhuddle uses prepaid credits — 1 credit = $1, with no subscription. Screening a candidate costs 2 credits (the video assessment is included) and each active candidate costs 1 credit per day. Every new workspace starts with 20 free credits, packs of 100+ credits are 10% off, and if you ever hit zero, screening simply pauses — no surprise overages. See the pricing page for packs and a cost estimator.

Can I run a program across multiple offices?

Yes. Multi-office support lets you run one pipeline across several offices or legal entities. Each office carries its own branding and legal name on candidate emails, contracts and certificates, and deadlines are calculated in each office's timezone.

Can students find internships directly on Internhuddle?

Yes. The free candidate portal lets students and early-career job seekers create one reusable profile with a 90-second intro video, browse a directory of companies that have opted in to open applications, apply to any of them in one click and track every application's status — all at no cost.

How do interns apply and track their status?

Candidates apply through your public link with a short video. Once accepted, interns get a private portal where they can track their application status live, view feedback, keep a journal, and download their documents and certificate.

What is the intern journal?

Interns keep a private journal of weekly reflections throughout their internship. They choose which entries to share with their mentor, and can export the whole journal as a polished PDF when the internship wraps up.

Can universities track where their students are interning?

Yes, and it's free for the university with nothing to set up. A student logs their internship and chooses what to share, and their placement office gets a secure magic-link to a read-only dashboard of their whole cohort — students, employers, roles and completion. The university only ever sees the fields each student consents to share, the student can revoke access at any time, and placement offices get referral links plus accreditation-ready CSV and PDF exports.

What happens to personal data after an internship ends?

Internhuddle supports scheduled retention and PII purge. When a record reaches the end of its retention window, personal data — including video intros — is permanently deleted, so you can run your program in line with your data-protection obligations.
